Theatre - Office Manager
Job Description
Works under general supervision providing support and administrative assistance to the Theatre Department chair, faculty and Hope Repertory Theatre.
● Record weekly Theatre Council meetings.
● Gather information/set up programs for departmental and Hope Rep productions.
● Assist Chair and/or Director of Theatre with Distinguished Artist Award Audition Day, high school outreach program, and publicity.
● Assist Chairperson with tasks associated with the National Association of Schools of Theatre including internal reviews and departmental reports.
● Process recruiting outreach and correspondence.
● Update and maintain alumni and email distribution lists.
● Disperse electronically weekly departmental newsletter to internal department recipients and e-blast emails to external patrons and contacts.
● Organize/coordinate the Kennedy Center American College Theater Festival trip.
● Process student hire authorization forms.
● Approve student time cards and payment stipends for both office and publicity positions.
● Hire, train, and supervise student office assistants.
● Coordinate media services for capturing and recording productions for archives.
● Maintain departmental video/script libraries.
● Support the Department Chair in the management of departmental budgets.
● Process departmental and Hope Rep mailings.
● Maintain the department and Hope Rep website.
● Assist Executive Artistic Director of Hope Rep as directed.
● Assist with Hope Rep community building efforts via distributing ticket vouchers for organizations that are fundraising and communicating regarding those requests.
● Assist with communications, Constant Contact, and social media to patrons to promote the Hope Rep season.
● Assist Hope Rep with local auditions, making appointments, and record keeping for contracted positions.
● Conceptualize, design, and distribute key printed and digital publications and/or supervise student staff (brochures, fliers, newsletters, vouchers, direct mail, email campaigns, social media graphics, departmental events etc.) to support communication efforts that achieve the objectives and meet the strategic goals of the Theatre Department and Hope Rep.
● Uphold brand guidelines for the Theatre department and Hope Rep, and ensure consistent messaging, look and feel across marketing and communication materials.
Qualifications
● Prefer a Bachelor’s degree or equivalent work experience
● Proficient in computer applications including Word, Excel, Power Point, and website development.
● Proficient with Google’s online applications: Gmail, Docs, Sheets, Drive, Slides, etc.
● Knowledge of email campaign applications: MailChimp and Constant Contact preferred.
● Knowledge of the most recent version of Adobe Suite, including InDesign, Photoshop, and Illustrator or other graphic design experience is preferred.
● An understanding of performing arts processes.
● Must have excellent organizational skills and written and oral communication skills.
● Ability to perform simple bookkeeping functions, manage multiple deadlines and activities, and work independently.
● Ability to thrive in a highly collaborative team environment, with willingness to take initiative.
● Proficient in computer applications including Word, Excel, Power Point, and website development.

Physical Demands
This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities.
